What personal data we collect

We collect the following information when you interact with us:

• Quote / contact form submissions — your name, business name, email address, phone number, business postcode, current waste provider (if you tell us), and any message you send.

• Email correspondence — any information you include when you email or message us.

• Phone calls — we may take notes during calls. We do not record calls unless we tell you in advance.

• Website usage data — via cookies and analytics (see our Cookie Policy). This includes pages visited, time spent on the site, device type, and approximate location.

• Customer account data — if you become a customer, additional information needed to manage your account (billing address, purchase orders, collection schedules).

How we use your personal data

We use your personal data for the following purposes:

• To respond to your enquiry — if you submit a quote request or contact form, we use your details to get back to you with a quote or answer.

• To obtain quotes from waste carriers — as a waste management broker, we share your business contact details and waste requirements with one or more carriers in our network to obtain pricing. We only share what's necessary.

• To manage your account — if you become a customer, to deliver the service, handle collections, send invoices, and respond to questions.

• To send service updates — operational emails about your account, collections, or service changes.

• Marketing (only with your consent) — if you opt in, we may send you occasional emails about new services, regulatory updates, or relevant offers. You can unsubscribe at any time.

• To improve our website and service — via aggregated, anonymised analytics.

• To comply with legal obligations — including waste broker regulations (Environment Agency), tax law, and any court orders.

Our legal basis for processing

Under UK GDPR, we rely on the following legal bases:

• Legitimate interests — responding to your enquiry, obtaining quotes on your behalf, improving our service, and operating our business.

• Contract — delivering the service you've signed up for as a customer.

• Consent — for marketing emails and non-essential cookies. You can withdraw consent at any time.

• Legal obligation — complying with waste industry regulations, tax law, and other legal requirements.

Who we share your data with

We share your data only with the following:

• Waste carriers in our network — to obtain quotes on your behalf or to deliver the service you've signed up for. These carriers act as separate data controllers and have their own privacy policies.

• Our service providers — website hosting, email services, accounting software, CRM, payment processing. They process data on our behalf under written contracts.

• HMRC and other regulators — where legally required.

• Professional advisers — accountants, solicitors, insurers, where necessary.

We do not sell your personal data to anyone.

How long we keep your data

We keep personal data only as long as we need it for the purposes set out above:

• Quote enquiries (no customer relationship) — kept for up to 24 months in case you come back, then deleted.

• Customer account data — kept for the duration of your contract, plus 7 years after the contract ends (for tax and legal purposes).

• Marketing data — kept until you unsubscribe or for 2 years of inactivity.

• Website analytics — anonymised after 14 months.

Your rights

Under UK GDPR, you have the following rights:

• Right to access — ask for a copy of the personal data we hold about you.

• Right to rectification — ask us to correct inaccurate data.

• Right to erasure — ask us to delete your data (subject to some legal exceptions).

• Right to restrict processing — ask us to stop using your data in certain ways.

• Right to object — to direct marketing or processing based on legitimate interests.

• Right to data portability — receive your data in a portable format.

• Right to withdraw consent — where we rely on consent.

To exercise any of these rights, email hello@nationalwastedirect.co.uk. We will respond within one month.

Cookies and tracking

We use cookies and similar technologies on our website. See our separate Cookie Policy for full details, including what cookies we use and how to control them.

Security

We take reasonable steps to protect your personal data from loss, misuse, and unauthorised access — including secure hosting, encrypted communications, restricted staff access, and regular reviews of our security practices. However, no system is 100% secure, and we cannot guarantee the security of data transmitted over the internet.

International transfers

Some of our service providers may be based outside the UK. Where this is the case, we make sure appropriate safeguards are in place (such as UK-approved standard contractual clauses or processing under an adequacy decision) so that your data is protected to UK GDPR standards.

Children

This website is not intended for children under 18 and we do not knowingly collect data from them.

Changes to this policy

We may update this policy from time to time. The latest version will always be available on this page, with the date of the most recent update at the top. Significant changes will be communicated to active customers by email.

Marketing / advertising cookies

If you opt in, we may use marketing cookies to measure ad performance or show you relevant ads on other websites.

Changes to this policy

We may update this policy when we add or remove services. The latest version is always on this page.
